What is Smartsheet, and how does it work? 

If you have just been set up on Smartsheet, or you are exploring it for the first time, start here. This page explains what the platform is, how it is organised, and what it can do for your team. By the end you will have a clear picture of the platform and be ready to take your first steps. 

What is Smartsheet? 

Smartsheet is an intelligent work management platform. It looks a lot like a spreadsheet, but it’s not. 

Where a spreadsheet is a calculation tool, Smartsheet is built for collaboration across teams and coordinating work in a single, easy to use space. Multiple people can update the same sheet at the same time, automated alerts keep the right people informed, and dashboards pull information from across your work into a single view. You do not chase status updates: the information is already there. 

Teams use Smartsheet to manage projects, track requests, run processes, and report on progress. It spans project management, operations, marketing, IT, finance, and more. Because it’s built to flex, it tends to fit the way your team already thinks about work. 

The building blocks of Smartsheet 

Smartsheet is made up of five core components. You won’t need all of them straight away, and which ones matter most will depend on your role. But understanding what each one does gives you a clear map of the platform before you dive in. 

 

Building block  What it is  When you’ll use it 
Sheet  The core of Smartsheet. A grid of rows and columns where your work actually lives -tasks, projects, requests, records, whatever your team tracks and manages. 

 

Every day. This is where data is captured and updated. 
Form  A shareable input form that feeds data directly into a sheet. The person completing it does not need a Smartsheet login.  When you need information from people outside your team, or want a clean way to capture requests. 
Report  A filtered view that pulls rows from one or more sheets based on criteria you define. Updates automatically.  When you need a specific slice of your data: overdue tasks, open requests, items assigned to one person. 
Dashboard  A visual summary built from widgets: charts, metrics, text, and reports. No raw data, just the view people need.  When you want to give leadership or a wider team a clear view without sharing underlying sheets. 
Automation  Rules that trigger actions automatically, such as sending alerts, requesting updates, and moving rows, based on conditions you define.  Running in the background. You benefit from them without necessarily building them yourself. 

 

Most people start with sheets and reports. Forms and dashboards become relevant as use grows. Automations typically run from day one, configured as part of your solution setup. 

How it fits together 

The value of Smartsheet comes from how these components connect. A form captures a request and feeds it into a sheet. A report filters that sheet to show only what is relevant to a particular person. A dashboard displays the summary. An automation sends a notification when something needs attention. 

How well this works in practice depends on how the solution has been designed. A well-built Smartsheet solution reduces admin and gives everyone the visibility they need. A poorly structured one creates more work, not less. 

Smartsheet and AI 

Work management is changing quickly. Smartsheet is investing heavily in AI, building capabilities directly into the platform to help teams work faster, surface insights more easily, and automate more of the routine. If you are getting started now, you are doing so at a point where these capabilities are developing rapidly.

What Smartsheet is not 

It is worth being direct about this, because the name creates false expectations. 

  • It is not a spreadsheet tool. It looks like one, but it is not designed for financial modelling or calculation-heavy work. Excel remains the right tool for that.
  • It is not a document editor. Smartsheet is for structured work: tracking, managing, collaborating. Not for writing prose or drafting reports.
  • It is not a messaging platform. It has comments and notifications, but it is not a replacement for email or a team chat tool. Think of it as the place where work lives, not where conversations happen. 

 Knowing this means you use it with the right expectations from the start.
