Smartsheet Scheduling Constraints: Template and Setup Guide

Many teams moving from tools like Microsoft Project into Smartsheet notice that some scheduling features behave differently. Dependencies and timelines are straightforward, but task constraints — the ability to say this task must start before a certain date or must finish by a deadline — are not built in the same way.

For most projects this does not cause an issue. Many delivery teams never use constraints at all.

But some teams rely on them. Particularly when schedules must respect contract dates, regulatory milestones, or dependencies across multiple plans.

This template provides a simple structure that recreates constraint behaviour inside Smartsheet using standard columns, formulas and conditional formatting. Nothing complicated. Just a practical addition to a project sheet when a little more scheduling discipline is required.

What This Template Does

The template adds a lightweight constraint framework to a Smartsheet project plan.

Each task can be assigned a constraint type and date. The sheet then checks whether the schedule violates that rule and flags the task automatically if it does.

The result is simple but effective:
If the schedule breaks a constraint, the plan shows it.

Constraint Types Available

The template supports three common constraint scenarios:

  1. Must Start Before
    Ensures a task begins before a specified date.
  2. Do Not Start Before
    Prevents work from starting earlier than an agreed milestone or dependency.
  3. Must Finish By
    Flags tasks that exceed a defined deadline.

 

Each constraint works by comparing the scheduled start or finish date against the defined constraint date.

If the schedule breaks the rule, the row is flagged automatically using conditional formatting.

When This Template Is Useful

This pattern is particularly useful when:

  • Project plans must respect fixed external deadlines

  • Teams are coordinating dependencies across multiple plans

  • Delivery teams are transitioning from Microsoft Project style scheduling

  • A schedule needs clear signals when deadlines slip

It is not something every project needs. But when constraints matter, having them visible in the plan can prevent quiet schedule drift.
