Dial Up Your Project Management: Risk Matrix Numbers & Portfolio View in Smartsheet

In a previous video, we showed how to display risk healines directly on your Smartsheet dashboard using a JOIN COLLECT formula. This video takes it further — switching to COUNTIF to show the number of risks in each category, and then tackling the bigger challenge: how do you get that same view at a portfolio level?

For portfolio-level risk reporting, you can't simply run a formula against a report — the data needs to live in a sheet. This video walks through how to use DataMesh to pull risks from multiple RAID logs into a single consolidated sheet, handle the complexity of closed items, and then apply the same COUNTIF logic to give stakeholders a clean, headline view of risk exposure across the whole portfolio.

Resource Management

The purpose of this video is to provide you with a user overview of the Resource Management solution from Smartsheet so you have an idea of what it can do and what to expect.

The Resource Management solution operates on a separate platform from your Smartsheet account and requires its own licences. It was previously known as 10,000ft, but has since been rebranded. This is different to the Legacy resource management solution available within the Smartsheet core app, for which I have done a separate video.

The full Resource Management solution is for organisations looking for a fully integrated resource management tool that enables them to have full visibility and reporting capabilities on the allocation and utilisation of resources, an ability to track time, find resources with defined skills and reallocate work. Like any application it has a wide range of capabilities to meet the needs of most organisations so it’s just a case of utilising the ones you need and knowing it has more capability as your needs develop. And like everything from Smartsheet, they continue to add more functionality to meet user needs so it’s constantly evolving.

For many of us working on projects or task lists, we have a set deadline when the work needs to be completed by, but if you are using Resource Management for capacity planning, you need to be smart about how you calculate the actual % allocation so you can still assess capacity effectively. This is all the more important for teams working on tasks that may take a number of hours and their work is being scheduled over the coming week.

The simple solution is to use a formula to automatically calculate the % allocation over the duration of the task based on the estimate of the hours or days effort required to complete it. You do this by dividing the estimated effort by the duration of the task - and if it is in hours, then you need to multiply the duration by the number of hours in your working day.

Note beware in Resource Management (RM), if you are working in hours, if someone is showing as 100% allocated, even if for 1 hour, RM will reflect that as a whole day.

The purpose of this video is to provide an overview of Smartsheet Control Center and what to expect from a user perspective when applied by a Programme Management Office.

So what is Smartsheet Control Center? It’s an Interface that allows you automate the process for creating new projects with a consistent set of templates and structure that are all named appropriately and are automatically interconnected at a project and portfolio reporting level to your dashboards and reports. It also enables you to make global updates to projects once started rather than having to edit every item individually, and allows you to automate the archiving process for closed projects.

So while you can still manage a PMO effectively in Smartsheet without Control Center, as your numbers of projects increase, the risk of human error, key person availability and the admin overhead starts to mount up – all of which is addressed by Control Center.

The purpose of this video is to provide a short demo of Smartsheet Calendar App and show you how you can take your calendars up a level compared to the standard calendar available in all sheets. The purpose of this video is to give an overview of how Smartsheet can be used to create an effective meeting room booking system for multiple rooms. Clearly this can be modified to many other uses, such as desks or equipment where items are required for varying timeslots on a particular day.

To create this system I have used the Calendar app and Dynamic View, which are premium applications, and can both be used for a myriad of use case, with this demo simply serving to show how flexible they are to meet many different use cases.

You can see and test the calendar for yourselves on our website, but for privacy reasons you won’t be able to use the Dynamic View functionality as I have adjusted the form settings so it does not record the booker’s email address.

There are a variety of scenarios where stakeholders wish to view the trend of project status over time and the weekly / monthly snapshot. This can equally apply to financials, among a whole host of use cases.

In this video I demo how you can take a scheduled weekly snapshot using Data Shuttle and then add that snapshot to a rolling record that in turn can be used to feed metric sheets and dashboard views, as well as simply serving as a reference sheet for anyone wanted to see the historical data.

Note this can be done without DataShuttle by using the copy row function - it just means you end up with a lot more columns, but maybe you'll find them useful for future reference by having a history of the weekly snapshot.

Bridge

If you're looking to take your Smartsheet solutions up a level, then you should explore Bridge by Smartsheet. It's a no-code / low-code solution that enables you to connect Smartsheet to other systems with pre-build integrations or via API and HTTP calls - but it also allows you to achieve much more advanced solutions within Smartsheet itself.

You can create advanced workflows with complex logic based off triggers or a defined schedule. It's available as an add-on product for Smartsheet customers on an Enterprise plan and is included in the Smartsheet Advance.

This is a an intro video showing two simple examples:

1) Auto-translating content (such as a status update)
2) Creating a status update record by adding all updates as row comments, enabling you to have a record going back as far as you need (from when you set it up). This can provide an excellent audit trail on sheets and risk logs, given the history log only goes back 90 days and in many cases can be a cleaner solution than creating a copy of the row into an archive each time it is updated.

Smartsheet Groups are great ways to manage access to assets with groups of people quickly and easily. We did a video on that a while back.

Now these groups can only be edited by the owner or System Admins. Which is where Bridge comes in! Using Bridge you can automate the updating of Groups from lists in your Smartsheet. Given how critical Smartsheet is to many organisations' operations, having back-ups is equally critical. While you can automate back-ups natively with Smartsheet, these are limited to weekly and only provide you with a zip file containing csv files of each sheet and the attachments, if requested.

But critically, this is limited to an overall workspace size of 4GB, and given you can't readily find out the size of your workspace, you may not discover you have exceeded the 4GB until it comes to downloading the back-up and finding it hasn't backed up... and that will come as a horrible surprise.

And you are limited to this running on a weekly basis, whereas for more critical operations, you may want this daily, for example.

You can always create a copy of a workspace using 'Save as New', but only if it has less than 100 items in it - and this needs to be done manually.

Using Bridge, you can get around these issues by scheduling backups of large workspaces within the Smartsheet environment, effectively creating copies of the existing workspace on a repeating schedule you determine.

Smartsheet groups are a great way to control access to workspaces and assets quickly and easily - and are particularly useful for WorkApps. However, a particular limitation is that only the group owner (creator) and System Admins can modify this. And you can't currently transfer ownership of groups.

So imagine you need to make a change to a group and the owner is away... you have to call on a System Admin to do this. Or grant System Admin access to someone simply so they can do this, and in many organisations this not something you will want to do.

But there is another way... In this video we demonstrate how Bridge can be used to democratise the administration of group membership to ease the burden on key resources.
