Why Link Data Between Sheets?
Imagine you are managing several projects simultaneously. Each project has its sheet, and keeping track of changes or updates can be a daunting task. By linking data between sheets, you can ensure consistent information flow, reduce manual updates, and maintain a single source of truth. In this tutorial, Rich demonstrates how linking data can simplify project management.
Creating Links Between Sheets
Start by identifying the data you wish to link. In Rich’s example, he uses a road log and a project column, maintaining a dynamic connection to the project’s name. This ensures that any change in the project name template or source will automatically update in your sheet. Here’s how to do it:
- Right-click on the Target Cell: Bring up the contextual menu and select “Link from a cell in another sheet.”
- Select the Source Sheet and Cell: Navigate to the desired sheet, in this case “Villarica project metadata,” and choose the specific cell to establish a link.
- Create the Link: Confirm your selection, and the data will immediately appear in your target cell, indicated by a blue arrow.
The linked cells will now automatically update whenever changes are made in the source sheet, ensuring your team always works with the most current data.
Linking Multiple Cells
Need to link more than one cell? Here’s how to extend this feature to multiple cells simultaneously, which is particularly useful when using a PMO template. Follow these steps:
- Select Multiple Target Cells: Identify the range of cells you want to link.
- Repeat the Linking Process: Use the same “Link from a cell in another sheet” option for each cell.
- Ensure Consistent Updates: As project details change, these cells will update automatically, providing real-time updates across your project sheets.
